Who We Are

Gavin’s Mill Community Project and our trading company At Gavin’s Mill Ltd are committed to maintaining the trust and confidence of our volunteers, customers and visitors to our web site. In particular, we do not, and will not sell, rent or trade email lists with other companies and organisations for marketing purposes. In this Privacy Policy, we provide detailed information on when and why we collect your personal information, how we use it, the limited conditions under which we may disclose it to others and how we keep it secure. 

Data held in electronic form is stored in our computers and only transmitted via encrypted email. Where physical copies of personal data are held, these are stored securely in locked storage units when not in use.

Types of Data We Collect

Volunteer Information

As part of the registration process for our volunteer team, we collect personal information. We use that information for the following purposes: to contact you to arrange for you to work at Gavin’s Mill as a volunteer, to tell you about stuff you’ve asked us to tell you about; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied. If you leave our volunteer team, we will remove your data from our records. We do not rent or trade contact lists with other organisations and businesses. As you are probably aware, we use the SignUp app to help with managing the volunteer rota; their privacy policy is here

Customer Information

When you purchase Gavin’s Mill Gifts, either through Gavin’s Mill Fair Trade Shop and Café or online on our website, your name, address data, email and contact number will be stored in our records. We use this data to enable us to claim Gift Aid where appropriate, to provide feedback about the project supported by the gift you purchase, and to update you occasionally about Gavin’s Mill Gifts. You may, of course, purchase Gavin’s Mill Gifts in person at Gavin’s Mill without supplying this personal data. Please be assured that we do not share your personal details with any other organisation without your consent

Contact Lists

Any other personal data that we hold, for example contact lists, will be used only for getting in touch with people and organisations that we are working with. We will not pass this information on to anyone else. Again, if you wish to be taken off our list of contacts, please let us know.

Google Analytics

When someone visits we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website


Currently we do not have the capacity to provide guest access to our wifi, but should this become available, we may collect usage data about

  1. your device;
  2. the volume of data which you use;
  3. the websites and applications which you access; and
  4. your usage by access time, frequency and location.  

This data will only be made available to other organisations if there is a legal requirement for us to provide it.

Third Parties

At the moment we are not aware of any organisations with which we share data. 

Access to Your Personal Information
